Welcome to GIS Attendance. These Terms and Conditions govern your use of our web portal and mobile applications (Android & iOS). By accessing or using our services, you agree to be bound by these Terms. Please read them carefully before proceeding.

1. Acceptance of Terms

By registering, accessing, or using GIS Attendance, whether as an administrator, business owner, or staff member, you acknowledge that you have read, understood, and agreed to these Terms. If you do not agree, you must not use our platform.

2. Scope of Services

GIS Attendance provides a comprehensive attendance management solution, consisting of:

  • Web Portal with admin dashboard for business and staff management.
  • Mobile Application for staff attendance tracking via QR codes and geolocation validation.
  • Attendance Reporting with export options to PDF and Excel.

Our services are designed for businesses to manage their workforce effectively while ensuring accurate attendance verification.

3. User Eligibility

To use GIS Attendance:

  • Administrators must be authorized representatives of their respective businesses.
  • Staff members must be officially registered under their employer’s account.
  • Users must be at least 18 years old or have parental/guardian consent where required.

4. Account Registration and Responsibilities

  1. Admin Accounts: Business owners or administrators must register to gain access to the admin dashboard.
  2. Staff Accounts: Staff profiles are created and linked to specific businesses by administrators.
  3. Accuracy of Information: All information provided during registration, including business details and staff data, must be accurate and up to date.
  4. Security: You are responsible for maintaining the confidentiality of your login credentials. Any unauthorized use of your account must be reported immediately.

5. Web Portal Features

Through the Admin Dashboard, administrators can:

  • Add and manage businesses with geolocation and distance-based validation.
  • Generate unique QR codes for each business location to be used for attendance tracking.
  • Add, update, and manage staff profiles associated with their business.
  • Generate attendance reports filtered by daily, weekly, or monthly periods.
  • Export reports into PDF or Excel formats for record-keeping.
  • Ensure secure access through strong authentication mechanisms.

Administrators are solely responsible for managing their business and staff accounts properly.

6. Mobile App Features

The Mobile App provides staff with tools to:

  • Log in securely using their credentials.
  • Scan QR codes at designated business locations for check-in and check-out.
  • Verify attendance through geolocation validation to prevent spoofing or fraudulent check-ins.
  • View their personal attendance reports directly within the app.

All attendance data collected is automatically synced with the web portal for employer review and reporting.

7. Use of Geolocation Data

The app uses device geolocation features to validate attendance accuracy. By using GIS Attendance, staff members consent to the collection of geolocation data during check-in and check-out. This data is only used for attendance verification and is not shared with unauthorized third parties.

8. QR Code-Based Attendance

  • Each business is assigned a unique QR code generated by the system.
  • Staff must scan this QR code upon arrival (check-in) and departure (check-out).
  • Any attempt to forge, replicate, or misuse QR codes is strictly prohibited and may result in suspension of the account.

9. Data Accuracy and Reports

  • Attendance reports generated by the system are based on the data provided by staff check-ins, check-outs, and geolocation validation.
  • Reports can be filtered (daily, weekly, monthly) and exported for official use.
  • While GIS Attendance ensures system accuracy, businesses are responsible for reviewing and validating attendance records for their staff.

10. Payment and Pricing

  • The platform may offer subscription-based or one-time pricing structures.
  • The Pricing Breakdown and item descriptions will be communicated clearly at the time of subscription or purchase.
  • Payments must be made in accordance with the selected plan. Failure to pay may result in restricted access or termination of services.

11. Acceptable Use Policy

You agree not to:

  • Use the platform for unlawful or fraudulent purposes.
  • Interfere with the proper functioning of the system.
  • Attempt to bypass geolocation validation or manipulate attendance records.
  • Share login credentials with unauthorized individuals.

Violation of this policy may result in immediate suspension or termination of access.

12. Data Privacy and Security

  • GIS Attendance collects and processes data in accordance with our Privacy Policy.
  • All personal and attendance-related data is stored securely and used solely for workforce management purposes.
  • Administrators are responsible for safeguarding the confidentiality of their staff’s data.

13. Intellectual Property Rights

  • All software, content, logos, and features of GIS Attendance are the intellectual property of GIS Attendance.
  • Users are granted a limited, non-transferable license to use the system for business and staff management purposes.
  • Unauthorized copying, modification, or redistribution of our platform is strictly prohibited.

14. Limitations of Liability

  • While we strive to provide reliable services, GIS Attendance does not guarantee that the system will be error-free or uninterrupted.
  • We are not liable for damages arising from misuse, inaccurate reporting due to user errors, or third-party actions.
  • Our liability is limited to the maximum extent permitted by law.

15. Termination of Accounts

We reserve the right to suspend or terminate accounts in cases of:

  • Violation of these Terms.
  • Non-payment of fees.
  • Misuse of QR codes, geolocation data, or falsification of attendance.
  • Security threats to our platform.

16. Changes to Terms

We may update these Terms from time to time to reflect new features, regulatory requirements, or changes in services. Updated Terms will be posted on the platform with a revised “Effective Date.” Continued use after updates constitutes acceptance of the revised Terms.
